AWA Conferences & Events (AWACE) is a division of AWA dedicated to developing and organizing high-quality international conferences, seminars, and training programs—both in-person and virtual—designed to foster knowledge-sharing and business networking within the industry.
We are seeking a Conference Coordinator to join our team and take a key role in planning, executing, and ensuring the success of our business conferences, seminars, and virtual events.
Job Responsibilities :
As a Conference Coordinator, you will be responsible for the end-to-end management of assigned events, ensuring seamless execution while also contributing to business growth. Key responsibilities include :
- Event Planning & Execution :
- Oversee all aspects of event management, from initial planning to on-site execution and post-event evaluation.
- Ensure smooth event delivery by managing venue selection, contracts, AV teams, hotels, vendors, and logistics.
- Work closely with speakers, sponsors, and stakeholders to maintain high-quality event experiences.
- Sponsorship & Business Development :
- Drive sponsorship acquisition, building strong relationships with potential and existing sponsors.
- Identify new partnership opportunities with industry associations and companies.
- Marketing & Audience Engagement :
- Collaborate with the marketing team to maximize delegate attendance and engagement.
- Contribute to the marketing strategy and promotional activities for assigned events.
- On-Site & Virtual Event Management :
- Ensure smooth on-site execution of physical conferences, managing event logistics and troubleshooting in real-time.
- Coordinate virtual events, overseeing technical aspects and ensuring high engagement levels.
- Performance Tracking & Reporting :
- Monitor key performance indicators, ensuring events meet sponsorship and delegate attendance targets.
- Conduct post-event evaluations and provide recommendations for continuous improvement.
Key Requirements :
Experience :Proven experience in business conference management, seminars, and virtual events (3-4 Years) .Strong background in vendor management and venue coordination.Skills & Competencies :Excellent project management and organizational skills, with the ability to multitask and meet deadlines.Strong business development skills, with experience in sponsorship sales and industry partnerships.Outstanding communication and negotiation skills (written and verbal).Detail-oriented, proactive, and solution-driven.Education & Language :Bachelor’s degree (HBO or equivalent).Fluent in English (both written and spoken).Personal Attributes :A team player who thrives in an international work environment.Adaptable, flexible, and able to work under pressure.Ambitious and eager to grow within the organization.What We Offer :
