JOB SUMMARY
No day is the same for our Front-Office colleagues. As a Front-office Specialist, your main task will be to ensure all Front-office duties for Fluke in Eindhoven, at our Fortive European Headquarter office, in a timely and accurate way.
ROLES AND RESPONSIBILITIES
- Welcomes customers, vendors, and other visitors. Keeps track of visitor records and issues identification badges.
- Acts as gatekeeper for building entrance – checking that people entering adhere to the Fluke guidelines.
- Receives, selects, and distributes mail. Sets priorities and monitors appropriate actions.
- Receives, selects, and distributes (priority) packages / shipments and checks required custom-related documentation.
- Arranges and receives courier mail / packages and ensures proper distribution.
- Manages the computerized switchboard (incoming calls) and interlinked contact system.
- Manages all sickness and health reports through the dedicated system.
- Orders flowers and pastry on request and according to policies.
- Manages and orders the office supplies.
- Performs various administrative activities such as :
- Create / manage / update work processes (process description of individual tasks at the Front-office).
- Holiday replacement registration for Front-office team.
- Organization of the monthly internal New Hire training and occasionally giving the training introducing own department.
- Organization of the quarterly internal Product training.
- Creating Purchase Requisitions for payment of Indirect Spend.
- Co-owning the Fluke Sharepoint environment and managing some of the site pages specifically.
- Creating Facilities-related tickets.
- Other duties as agreed to and / or required.
QUALIFICATIONS / SKILLS AND KNOWLEDGE :
The Front-office Specialist operates according to guidelines and procedures with a range of complexity depending on the level of operation. He / she must be able to communicate effectively within the EMEA HQ as well as to external relations.
The position requires taking initiative, ownership, and being pro-active. Errors in judgment could affect company image.
Skills required are therefore :
At least 2 years of experience in a similar position in an international environment.Excellent communication skills over the phone and in person.Excellent representative and customer-focused skills.Flexibility in moving shifts to guarantee full coverage of the Front-office desk.Excellent skills in MS Office (Word / Excel / Outlook) and eagerness to learn about more applications.Fluent English and Dutch language skills (written and verbal) as we have 30+ nationalities in our HQ location.This role is for full-time, although limited part-time availability can be discussed. It is important that the candidate can be flexible - in agreement with the rest of the Front-office team – ensuring a full week coverage during absence.
This role reports into the Facilities manager with a dotted line to one or more stakeholders, depending on activities / responsibilities.
