Responsibilities :
- Resource Management : Support the management of budgets, manpower, and staffing processes, ensuring the effective planning, execution, and follow-up of activities and resources.
- Procurement : Assist in the planning, preparation, execution, and monitoring of procurement activities, ensuring adherence to schedules, budgets, and resource requirements.
- Procurement Monitoring : Use ESA Corporate and local IT tools to assess and track procurement actions, ensuring correct financial charging, payment plans, invoicing, and payment tracking.
- Administrative Support : Execute procurement and contractual administrative actions, including data entry into ESA systems SAP), and monitor financial commitments, payment milestones, and invoicing processes.
- Data Analysis : Maintain and analyze data, identifying deviations from plans and targets, and generating reports for management and customers.
- Tool Support : Assist in the development, implementation, and maintenance of management support tools for efficient execution of tasks.
- Liaison : Coordinate with Contract, Budget, and Payment Officers to ensure coherence in internal and external administrative data.
- Process Improvement : Contribute to the development of new processes and tools, and improve existing ones, including related documentation.
- Risk Management : Support the maintenance of the risk register and the monitoring of risk mitigation actions within the Business Unit.
- Inventory and Asset Management : Coordinate the proper registration, valuation, and management of inventory items and assets using the required tools.
- Industrial Return Monitoring : Maintain industrial return databases, verify data consistency, and monitor and forecast industrial return values against agreed targets.
- Worked Time and Travel Management : Support time-tracking and travel management processes in compliance with procedures and required tools.
Requirements :
Education : University degree (Bachelor) in Business Administration or equivalent from a recognized institution.Experience : Relevant experience in controlling and managing activities and resources, particularly in the aerospace industry. Knowledge of finance and accounting is a plus.Language : Proficiency in English (both written and spoken) is essential. Knowledge of another official ESA language is an asset.IT Skills : Highly proficient in using modern activities and resource management tools, databases, and office automation software, with advanced Excel (MS Office) skills.ERP Systems : Experience with SAP, particularly ECC and SRM modules, and familiarity with ESA corporate applications ESA-p) is an asset.Adaptability : Ability to rapidly understand and adapt to ESA’s specific context, including corporate IT applications. Previous experience with ESA is a plus.Additional Skills : Knowledge of contract procurement processes and project control methods. Familiarity with Power BI for report preparation is beneficial.We Offer :
