You will be the ‘face’ of the company ensuring both visitors and employees feel welcome and safe.

You do that by ensuring the front office is a well-kept, safe & pleasant environment to work in, as well as providing a positive experience for customers, suppliers and externals who call or visit the company facilities.

You'll report to the Head of Facilities and have 3 other colleagues in the team.

Responsibilities

  • Welcome and assist guests and employees in a warm, professional manner. Ensure the front office area is clean, organized and welcoming.
  • Monitor visitor access and maintain security protocols.
  • Address inquiries and provide information about services, products, or company policies.
  • Manage incoming and outgoing mail and packages. Handle emails and phone calls, take messages, and transfer calls as needed.
  • Be a point of contact between clients and various departments within the organization.
  • Coordinate meeting rooms and prepare necessary materials for meetings.
  • Schedule appointments and manage calendars for employees and executives.
  • Ensure the office inventory of supplies, including beverages & fruits, is consistently stocked and keep our facilities clean and tidy.
  • Oversee hospitality-related tasks during employee meetings and onboarding and support in organizing internal / external office events.

Minimum Requirements

  • College / MBO degree in Hotel Management, Facility Management, or related field. You can also still be a student!
  • Availability to work 5 days a week.
  • Proven experience as a Front Desk representative is good to have, but not a must.
  • Knowledge of office management and hospitality.
  • Fluency in Dutch and English is required.
  • Strong communication skills with the ability to communicate well across different cultures and backgrounds.
  • High sense of ownership and problem-solving attitude.
  • Ability to work independently and prioritize multiple tasks, be proactive and able to drive improvements.
  • Assertive and not afraid to roll up your sleeves.
