Role purpose
Support the efficient operation of X-Laboratory’s supply chain, procurement, warehouse and work-preparation activities. Ensure that materials, components, documentation and internal work orders are correctly managed, traceable and available to support engineering, manufacturing and offshore operations in a structured and reliable manner.
Depending on experience and growth within the company, the role may evolve toward a broader Office Manager or Operations Support position.
Responsibilities (What you do)
- manage and support day-to-day procurement and purchasing activities for engineering and production projects
- coordinate supplier communication, quotations, purchase orders and delivery follow-up
- perform goods-in inspections
- support work preparation activities for engineering, assembly and commissioning operations
- generate and maintain internal work orders, bills of materials (BOMs) and ERP-related documentation
- support ERP system administration for procurement, warehouse and inventory workflows
- manage incoming and outgoing goods handling activities
- perform goods receipt verification, traceability checks and incoming quality-control administration
- maintain accurate inventory records, stock locations and warehouse organization
- support logistics activities including packing, shipment preparation and transport coordination
- support workshop and shopfloor operational activities where required
- coordinate tooling, consumables and material availability for ongoing projects
- maintain structured documentation and traceability of procurement and warehouse activities in line with X-Laboratory Quality System procedures
- support continuous improvement of warehouse, procurement and operational processes
- support creation and maintenance of technical documentation, operational procedures and internal communication material
- assist with media, website or marketing-related operational activities where applicable
- collaborate closely with engineers, project managers and workshop personnel to ensure smooth operational flow

Qualifications
Education
- MBO, HBO, university student or equivalent practical/professional experience in logistics, supply chain, warehouse operations, industrial administration, technical operations or related domains
- both experienced professionals and motivated students looking for a meaningful side-job are encouraged to apply
- candidates with technical affinity or practical workshop experience are strongly encouraged
Technical Skills & Experience
- fluent Dutch language skills are mandatory
- good English communication skills are highly desirable
- experience with procurement, warehouse administration or supply-chain processes is advantageous
- familiarity with ERP systems and digital inventory/workflow management tools
- understanding of bills of materials (BOMs), work orders and technical documentation concepts
- experience with warehouse operations, inventory management and logistics coordination is highly advantageous
- practical experience in workshop, assembly or shopfloor environments is a strong plus
- affinity with engineering hardware, tools and technical systems is advantageous
- experience with traceability systems, incoming goods inspection or quality administration is advantageous
- strong computer literacy and administrative accuracy
- technical writing skills are highly advantageous
- practical experience with media, website maintenance, content generation or marketing support is considered a strong plus
- forklift certification or practical warehouse certifications are advantageous but not required
